In this role, you will serve as the first point of contact for clients while supporting critical administrative workflows that keep daily operations running smoothly. You will manage communications, maintain accurate records, and ensure timely follow-ups, contributing directly to a seamless client experience. This position is ideal for someone who thrives in a structured yet fast-paced environment, enjoys keeping systems organized, and takes pride in delivering reliable, detail-oriented support. Your ability to anticipate needs and maintain efficiency will have a meaningful impact on both the team and its clients<br><br>Compensation: 1142 USD to 1220USD</div><p></p><p><b>Responsibilities include, but are not limited to:</b></p><p></p><ul><li>Support ongoing process improvement and documentation efforts</li></ul><ul><li>Coordinate meetings and daily activities</li></ul><ul><li>ollow up with clients to ensure timely communication</li></ul><ul><li>Maintain and update CRM records with accurate data</li></ul><ul><li>Draft documents, internal manuals, and standard operating procedures</li></ul><ul><li>Schedule appointments and manage calendars</li></ul><ul><li>Prepare, draft, and send invoices using MyCase on a biweekly basis</li></ul><ul><li>Send requests for client reviews and feedback</li></ul><ul><li>Manage inboxes, including sorting and handling junk email</li></ul><ul><li>Organize and maintain digital files and documents in OneDrive</li></ul><ul><li>Conduct client intake and gather accurate information</li></ul><ul><li>Answer and manage incoming phone calls professionally</li></ul><p></p><p><b>Requirements: </b></p><p></p><div><p>• Work schedule: Monday to Friday, 8:00 a.m. to 5:00 p.m. PST<br>• Experience supporting administrative or intake processes is required<br>• Strong English communication skills, both written and verbal<br>• Experience handling client-facing communication and phone calls<br>• Familiarity with CRM platforms and data management<br>• Ability to manage inboxes, calendars, and digital documents efficiently</p><p><b>Required Tools and Software:</b><br>• CRM: MyCase<br>• VOIP: RingCentral<br>• Microsoft OneDrive<br>• Outlook and Calendar<br>• Microsoft Teams<br>• Microsoft Word and Excel<br>• Adobe Acrobat</p></div><p></p><p><b>Work Shift:</b></p><p></p>8:00 AM - 5:00 PM [PST][PDT] (United States of America)<p style="text-align:inherit"></p><p style="text-align:left"><b>Languages:</b></p><p style="text-align:inherit"></p>English<p></p><p>Ready to dive in? <b>Apply now and make sure to follow all the instructions! </b> </p><p></p><p>Our application process involves multiple stages, and submitting your application is just the first step.
