Work of Art Services is a fine art handling and logistics company based in Oakland, CA. We are a small business specializing in handling artwork, custom crating, local transportation, art installation, packing and wrapping, project management, and more. Our team is dedicated to providing high-quality care and solutions for fine art.

The Role: Customer Service & Outreach Coordinator
We are seeking a detail-oriented, organized, and proactive individual to assist with customer service, marketing, and logistics coordination. This role is ideal for someone with strong communication skills, a passion for the arts, and an ability to manage multiple tasks efficiently. The ideal candidate would have experience working in an art gallery, art center, interior design, shipping logistics and based in the East Bay.

This is a subcontractor 1099 position with the possibility of becoming a full-time W2 employee with benefits, such as health insurance, PTO and 401k, following a probation period, depending on your performance, skills, and commitment to the team

Responsibilities:

  • Communicate effectively with high-end clientele, maintaining a professional yet personable demeanor.
  • Manage customer communication via email, phone, and messages.
  • Assist in marketing efforts through social media and website updates
  • Schedule projects and coordinate employee schedules
  • Provide project details to installers and the driving fleet
  • Prepare and send project estimates and invoices
  • Identify and coordinate preliminary site visits for projects
  • Communicate effectively with the installation team via text and phone calls
  • Handle and accept packages (ability to carry up to 40 lbs)
  • Complete Bill of Lading paperwork
  • Learn our software applications such as: Slack, Click-up, Quickbooks, Google suite, Google business and ads, ArtGalleria inventory system, Square, Squarespace, Hiver Emailing, Dropbox, and talkroute.

The Ideal Candidate:

  • Previous experience in art galleries or art organizations is a plus
  • Previous experience in customer service, scheduling, or logistics is a plus.
  • A fast learner who thrives in a dynamic environment
  • Interested in the arts, with a plus for knowledge in art conservation and preservation
  • Strong attention to detail and excellent organizational skills
  • Comfortable using social media and updating websites
  • Proficient in email communication, invoicing, and estimate preparation
  • Able to work independently while collaborating with a team
  • Professional experience in art handling, museums, galleries, shipping, and/or logistics companies
  • Has management skills
  • Based in the East Bay

Job Details:

  • Location: Oakland, CA (on-site)
  • Job Type: Full-time. Monday to Friday, from 9 to 4p - 1 hour lunch - 80hrs/week pay guaranteed.
  • Compensation: $25-30/hr Based on experience. Paid weekly via ACH.
  • This job has the potential to grow into a management position
