Job Purpose

The Part-Time Bookkeeper / AP Specialist supports the day-to-day accounting operations of a growing multi-unit restaurant group. This role is primarily responsible for accounts payable processing, bookkeeping support, reconciliations, and maintaining organized financial records across multiple restaurant locations and related entities.

This position requires strong attention to detail, organization, and follow-through in a fast-paced environment. The role will work closely with the Accounting Manager and restaurant leadership to ensure accurate and timely financial processing and administrative support.

This is a part-time support role designed to assist the Accounting Manager as the company continues to grow and add restaurant locations.

Key Responsibilities

Accounts Payable & Vendor Management

· Process vendor invoices accurately and timely across all restaurant locations

· Match invoices to supporting documentation and ensure approvals are obtained

· Maintain vendor records, W-9s, and payment documentation

· Prepare weekly payment runs for review and approval

· Respond to vendor inquiries and assist with discrepancy resolution

Bookkeeping & Reconciliations

· Assist with transaction coding and bookkeeping activities

· Reconcile bank accounts, credit card activity, and POS deposits

· Support monthly close processes and balance sheet reconciliations

· Investigate discrepancies and escalate issues as needed

· Maintain accurate and organized accounting records

Administrative & Operational Support

· Maintain organized digital and physical accounting files

· Coordinate with restaurant managers regarding invoices, receipts, and approvals

· Assist with collecting and organizing supporting documentation from restaurant locations

· Support compliance with accounting procedures and internal workflows

Systems & Process Support

· Utilize QuickBooks, POS systems, and other accounting tools to maintain accurate records

· Support data accuracy between operational systems and accounting records

· Assist with improving accounting workflows and organizational processes

Qualifications

· 2–4+ years of bookkeeping, AP, or accounting support experience

· Experience in restaurant, hospitality, retail, or multi-unit environments preferred

· Strong organizational skills and attention to detail

· Ability to manage multiple priorities in a fast-paced environment

· Proficiency in Microsoft Excel and QuickBooks preferred

· Experience with Toast or similar POS systems is a plus

Schedule Expectations

· Flexible part-time schedule based on business needs

· Approximately 15 to 25 hours per week

· Additional support may occasionally be needed during month-end close periods

Physical Requirements

· Prolonged periods working at a desk and computer

· Ability to review invoices, spreadsheets, and financial documents

· Occasional travel to restaurant locations if needed

Pay: $22.00 - $25.00 per hour
