Administrative Assistant (Remote)

Job Overview

We are seeking a detail-oriented and proactive Administrative Assistant to provide high-level administrative support to our remote team, executives, and cross-functional departments. Key Responsibilities

  • Provide comprehensive administrative support to senior leadership and various departments

  • Manage complex calendars, coordinate meetings across time zones, and arrange virtual events

  • Handle confidential correspondence, draft and edit professional communications, and prepare reports or presentations

  • Coordinate travel arrangements, process expense reports, and manage vendor relationships

  • Support HR and People Operations with onboarding, offboarding, document management, and employee record updates

  • Maintain organized digital filing systems, track action items, and ensure timely follow-ups

  • Assist with internal communications, including company announcements, newsletters, and knowledge base updates

  • Manage virtual office supplies, software subscriptions, and remote collaboration tool administration

  • Handle special projects and ad-hoc tasks to support company-wide initiatives

  • Uphold company policies and contribute to a positive, inclusive remote culture

Qualifications

  • 2–4+ years of experience as an Administrative Assistant, Executive Assistant, or similar role (remote experience strongly preferred)

  • Exceptional organizational skills and meticulous attention to detail in a digital environment

  • Advanced proficiency in Google Workspace (Docs, Sheets, Calendar, Drive), Microsoft Office Suite, and remote tools (Slack, Zoom, Asana, Notion, or similar)

  • Excellent written and verbal communication skills with a professional tone

  • Proven ability to multitask, prioritize, and work independently with minimal supervision

  • Discretion with handling sensitive information and a high level of confidentiality

  • Passion for social impact, philanthropy, or mission-driven organizations is a strong plus

  • Must be authorized to work in the United States (no visa sponsorship available)
