Accounting and Administration Manager
Job Summary
Lead the accounting and administrative functions of a growing 3PL operation. Ensure accurate financial reporting, timely billing and collections, payroll and benefits administration, regulatory compliance, and daily office management. Act as a financial partner to Operations, Sales, and Leadership; support process improvements and system integrations (ERP/WMS).
Key Responsibilities
- Oversee full-cycle accounting: general ledger, monthly close, journal entries, reconciliations, fixed assets, accruals, and financial statement preparation.
- Prepare monthly, quarterly, and annual financial reports and analyses for leadership; explain variances and key drivers.
- Manage Accounts Receivable (billing, dispute resolution, collections) and Accounts Payable (vendor payments, expense approvals).
- Execute client billing for complex 3PL services (warehousing, handling, cross-docking, transportation) and ensure accurate application per contracts/rate schedules.
- Maintain inventory accounting and reconciliation with WMS/ERP; support cycle counts and inventory valuation at close.
- Lead payroll processing and benefits administration (working with a payroll provider); ensure payroll tax compliance and timely filings.
- Manage sales tax, state/local filings, and collaborate with external CPA on annual tax returns and financial statements.
- Manage cash flow, banking relationships, and treasury activities.
- Develop and maintain internal controls, policies, and procedures (SOX-like) appropriate for the company's size.
- Supervise, train, and schedule a small accounting/administrative team. Support forecasting, cost analysis, and pricing support for sales/contracts.
- Serve as the primary financial contact for clients, carriers, and vendors; support contract reviews regarding billing terms.
- Coordinate with IT/Operations on ERP/WMS implementations, data integrity, integrations, and reporting enhancements.
- Ensure compliance with DOT, OSHA, and other logistics-related regulations regarding administrative records.
- Manage office administration: vendor contracts, insurance renewals, oversight of facility expenses, and general administrative needs.
Requirements
- Bachelor’s degree in Accounting, Finance, or a related field. CPA or CMA preferred.
- 5+ years of progressive accounting experience; 2+ years in logistics/3PL or supply chain preferred.
- Previous supervisory/management experience required.
- Strong bilingual skills (English/Spanish)—both written and spoken—required.
- Experience with QuickBooks Online required.
- Experience with ERP/WMS systems (NetSuite, SAP Business One, Microsoft Dynamics, Acumatica, or others) preferred - familiarity with transportation billing modules is a plus.
- Preferred: some experience with MacLeod.
- Advanced Excel skills; experience with financial reporting tools and dashboards.
- Solid knowledge of GAAP, payroll taxes, sales/use taxes, and internal controls for mid-sized companies.
- Detail-oriented, organized, proactive, and able to work under monthly closing deadlines.
- Excellent interpersonal skills; able to collaborate effectively with operations, sales, and executive teams.
